Short on dahlias? Know who gets what before you cut

Each week, type the units you can offer for each delivery and the orders as your florists send them. When a product is short, the file shares it out by your rule: manual allocations first, then standing orders, then orders, each by priority 1, 2, 3. Choose Serve in order (each line takes what is left, in order) or Share fairly (shared between florists by how much they ordered, in whole units). This Week shows up to 40 short lines with their reasons and warns you if there are more; the Orders tab also shows the allocation and reason for each individual order line. For each florist, This Week writes a message ready to copy. On delivery day, print the Harvest List, a pack slip for every florist and the route.

How it works

  1. Set it upOn Settings: farm name and contact, season, first week, delivery day(s), currency, the rule for short products, tax if you charge it. In Google Sheets, first set your Locale (country) and Time zone (File > Settings).
  2. Add florists, products and standing ordersFlorists with their delivery day, stop, Delivery or Pickup and priority; products with price, unit and stems per unit; the regular orders week by week.
  3. Each week: what you can offerOn Products, the units you can offer for each delivery. Then send the Fresh List.
  4. Orders as they come inOne line each, in the order they arrive. This Week shows who is short and why, with a message ready to copy for each florist.
  5. Delivery dayPrint the Harvest List, the Pack Slips (one per florist) and the Deliveries route. Save the slips and the route as PDF, then close the delivery in Settings.

Questions

Does it text or email my florists?

No. For every short florist it writes a message you can copy into your own text or e-mail. You send it yourself.

Is it an online ordering portal? Does it take payments?

No. Your florists order the way they do now, and you type each order line. It does not take payments.

How does it decide who gets what?

Manual allocations first, then standing orders (priority 1, 2, 3), then orders (priority 1, 2, 3). With Serve in order, each line takes what is left, in order; with Share fairly, a short product is shared between florists by how much they ordered, in whole units. Every line shows why it got what it got. Pick the rule on Settings at the start of the season: it applies to the whole season.

Can I give one florist a fixed amount?

Yes. Type a manual allocation on that order line: it is served first.

What if I deliver twice a week?

Set a second delivery day. Each delivery has its own availability on Products, its own Harvest List, Pack Slips and route. The weekly Fresh List shows what is still available to request for each of your delivery days.

My prices change during the season. What do I do?

Add the new price on Settings > Price changes, with the week it starts. Each line uses the price of its own week, or a price you type on that line.

Does it calculate sales tax?

Only a simple tax amount with your own rate, if you turn it on. The pack slip is not a tax invoice: check your local rules. The file does not determine tax obligations, collect taxes or file tax returns, and it is not tax, legal or accounting advice.

Do I need Microsoft Excel?

No. Google Sheets is free with a Google account; on a phone, use the free Google Sheets app. If you prefer Excel, the Excel files are included too: a blank file and the example.

How do I get my copy in Google Sheets?

Open the PDF you download and tap a button: a blank copy or the example. Then tap "Use template". A copy is saved in your own Google Drive.

Can I print from my phone?

Check and update it on a phone; print from a computer, because the phone apps cannot print a selected range. In Google Sheets, type the cells named in the grey line at the top of each printable tab into the Name box, then File > Print > Selected cells. The printouts fit US Letter and A4; each florist's slip starts on a new page, and over 30 lines continue on the next page.

How much does it hold?

100 products, 40 florists, 120 standing order lines, 2,000 order lines, 52 weeks and up to 2 delivery days a week. Each delivery prints up to 60 slip pages; with more, the slips show a red message instead of an incomplete set, and you choose one florist at a time in the Florist box to print their slip. A new season = a new copy; keep the old file as your record.
